Job Description:
Under the general direction of the President of SUNY Westchester Community College, the incumbent performs executive secretarial tasks, relieving the President of administrative details by receiving and handling inquiries, requests, etc. related to departmental activities from other County department heads, local and state officials, the press, and the general public. This position ensures orderly and efficient administrative and clerical support. The Executive Secretary:
- Performs all executive secretarial tasks for the President, including transcribing and proofreading confidential correspondence, preparing reports, data, minutes of meetings, etc. and maintaining confidential files and other material;
- Coordinates scheduling including meetings & agendas, travel arrangements, and vacation schedules;
- Maintains the calendar of appointments for the President and other staff, ensuring the President is apprised of all appointments and changes as well as matters requiring immediate attention;
- Screens complaints and inquiries from employees, public officials, the press and the general public addressed to the President;
- Gathers appropriate material to respond to routine inquiries and routes more complex inquiries along with support documentation, as appropriate;
- Processes personnel and payroll records and forms, requisitions office supplies, contracts, and performs/supervises other administrative support procedures for effective office management;
- Uses computer applications or other automated systems such as spreadsheets, word processing, calendar, e-mail and database software in performing work assignments;
- Performs special and confidential assignments as required;
- May perform other incidental tasks, as needed.
Requirements:
REQUIRED QUALIFICATIONS: The successful candidate must possess a High School diploma or equivalency, and either:
(a) seven years of administrative, office management and/or secretarial experience, which must have included two years using word processing equipment; or
(b) the satisfactory completion of 30 credits at a recognized college or business school may be substituted for each year of the above stated experience.
PREFERRED QUALIFICATIONS: It is strongly preferred that the candidate possess thorough knowledge of the varied and crucial responsibilities of an executive secretary, including the ability to utilize appropriate technology and type at a speed of not less than 35 words per minute.

POSITION EFFECTIVE: Recruitment will remain open until the position is filled.
SALARY & BENEFITS: The starting salary is $72,217. Additional compensation with seniority steps maximize at a salary of $89,465. Benefits include comprehensive health coverage, a choice of defined benefit and/or defined contribution pension plan, generous leave benefits, and access to tax sheltered annuities and a deferred compensation plan.
WORK SCHEDULE: The work schedule is Monday through Friday from 9:00 am - 5:00 pm. Flexibility and occasional evening/weekend hours may be required.
