We have an opportunity at our corporate offices in Chicago for a Program Specialist II on our Scientific Publication team. This is a hybrid position reporting into our Chicago, IL office, requiring 2 days a week in the office.
As a Program Specialist II, you will coordinate and manage to completion set of programs or corresponding activities within the portfolio of strategic programs and initiatives for JAMA and the JAMA Network; including JAMA Summit and programs to amplify JAMA’s global thought leadership and the JAMA Author Outreach Program. Collaborates and aligns with other departments with the JAMA Network, other business units, partners, and vendors to ensure proper implementation of programs and projects.
RESPONSIBILITIES:
Program Management
- Create and maintain project plans, report status, track and resolve issues, and ensure timely completion of project planning.
- Recommend and incorporate continuous process improvement practices and efficiencies in procedures, processes, and protocols.
- Provide programming support and other assistance including budget development and monitoring; finance and legal requirements; data reporting and analysis; and other tasks as assigned to ensure that program goals are met.
- Collaborate with conference services, meeting services, partners, and external vendors on event planning for JAMA Summit; serve as the point person for questions and issues regarding JAMA Summit logistics and provide on-site support for JAMA Summit and related events.
- Support execution of key initiatives and programs to strengthen JAMA’s presence and programs globally.
- Support execution of JAMA Summit communications plan to attendees, stakeholders, and key audiences.
Author Experience
- Stay up to date with content marketing trends, audience preferences, and competitor activities to refine and improve the author experience.
- Attend meetings and conferences and support author outreach activities.
- Working closely with the Author Outreach and Editorial Management team, assist in the development and support of ideas to improve the author experience such as enhancing author communications to highlight content marketing efforts.
- Pilot test new author experience improvement ideas. Track and monitor key metrics to determine broader roll-out and implementation of new ideas.
- Track and monitor JAMA and the JAMA Network publications.
Content Marketing
- Draft social media posts for papers published simultaneous with presentation at conferences; research and collect social media handles authors and their institutions to be used in social media posts.
- Collaborate with the internal content marketing leads and external partners to promote JAMA content, campaigns, and activations across various channels (website, social media, multimedia, and field marketing).
- Coordinate and execute content strategies aimed at increasing engagement, lead generation, and audience growth. Track and monitor key metrics to refine and adapt content marketing approaches and activities.
May include other responsibilities as assigned
REQUIREMENTS:
- Bachelor’s degree required; Master’s degree preferred.
- Minimum 3+ years’ experience in project coordination and management, planning and execution or equivalent skills.
- Experience in scholarly publishing and customer service preferred.
- Proven ability to coordinate work involving cross-organizational teams and experience working with academic research faculty preferred.
- Well-developed organizational and time management skills to handle a variety of multi-faceted projects, often with conflicting deadlines in a fast-paced team environment.
- Strong verbal and written communication skills. Excellent interpersonal skills to interface effectively with numerous stakeholders.
- Experience in process improvement initiatives to impact efficiency and effectiveness of workflows.
- Demonstrated ability to interface with people of varying disciplines, backgrounds, and expertise and contribute to a positive working environment; highly proficient communication and presentation skills with proven ability to build and manage relationships.
- Proficient use Microsoft Office applications; experience with Microsoft™ Project and web-based survey development tools preferred.
- Some travel may be required.
