Job Description

The Office of Financial Aid is seeking an Assistant Director, Financial Aid to support the department in all facets of aid administration and play a significant role in communicating with students, faculty, and staff on a daily basis. The successful candidate will have a strong foundation in financial aid, a commitment to providing the highest levels of customer service, and knowledge of post-secondary admissions, financial aid, billing, and registration processes. The Assistant Director of Financial Aid supports the Director of Financial Aid in providing the operational leadership necessary to effectively administer all departmental functions and services of the Office of Financial Aid (OFA) at the Peabody Institute of Johns Hopkins University. This position will work closely with the University’s compliance team, the Director of Financial Aid, the Campus Senior Software Engineer, the SEAM (Student Enrollment and Account Management) operations team, and is responsible for university compliance matters for the division.

Specific Duties & Responsibilities

  • Maintains departmental handbook, job aids, training materials, and website content for the Peabody Financial Aid Office.
  • Serves as the divisional liaison for the university’s SEAM organization and supports on campus walk-ins.
  • Reviews SCM (Salesforce) tickets from SEAM and CMD (call center) agents.
  • Attends campus calls with SEAM and university Compliance.
  • Updates and reviews ASANA.
  • Maintains a current comprehensive knowledge of federal and state financial aid regulations.
  • Oversees the Maryland State Aid programs, including the use of the MDCAPS system to process student aid rosters, subsequent ISIR transactions, and preparation for annual audits.
  • Interacts regularly with Department of Education systems, including but not limited to the Common Origination and Disbursement (COD) System and the National Student Loan Database System (NSLDS), FAA Access and EdConnect.
  • Updates OnBase Document Imaging system to create an electronic record of financial aid documents.
  • Uses OnBase workflows to process documents/requests, including loan adjustments, and budget requests for additional aid.
  • Uses the ELM platform to certify and manage private student loans, and also works with ECSI for PLITT loans for Peabody.
  • Counsels prospective students, returning students, and families in all aspects of financial aid in adherence to aid availability, application procedures, university policies, federal and state regulations, the process of needs analysis for the CSS Profile, IDOC, and any other relevant or necessary documentation.
  • Supports Peabody’s student recruitment efforts through active participation in the financial aid appeals process; assess student financial needs and makes informed recommendations accordingly.
  • Reviews applications for financial aid; analyzes financial situations and needs; determines appropriate packaging of aid; adjusts packages to meet changes in student eligibility criteria based on federal and state regulations as well as institutional policies.
  • Oversees the administration of the Federal Work-Study program, including monitoring expenditures, development and maintenance of budgets, databases, and other record-keeping systems.
  • Supervises the financial aid department’s student workers.
  • Resolves conflicting information from FAFSA, C-flags, and processes verification for all selected students.
  • Supports the office’s Financial Literacy program through one-on-one student counseling and campus presentations.
  • Serves in place of the Director when necessary and handles sensitive information from the division.
  • Manages a number of complex operations to problem-solve issues.
  • Performs additional duties – as assigned.

  • Ability to manage multiple projects with minimal supervision.

  • Ability to follow-through with policy and procedural implementations.
  • Strong conceptual, logical, and problem-solving abilities.
  • High professional standards with excellent written and verbal communication skills.
  • Demonstrated experience in analyzing and recommending significant improvements in departmental operations.
  • Demonstrated ability to establish and meet objectives within limited time frames and under tight schedule deadlines.


Minimum Qualifications
  • Bachelor's Degree.
  • One-year related experience.
  • Additional education may substitute for experience to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Relevant financial aid/Title IV experience.
  • Experience with PowerFAIDS as well as NetPartner.
