The Department of East Asian Languages and Cultures is seeking a highly organized and proactive Department Coordinator to in oversee and coordinate all aspects of the departmental operations. This position provides administrative support to the Department Chair, manages communication and office functions, and ensures effective stewardship of the department’s financial and operational resources. The coordinator will also collaborate closely with the Department Chair and other university units, supporting faculty appointments, leaves, renewals, and promotions, and coordinating events, course planning, and budgeting.
Essential Duties & Responsibilities:

Administration
- Prepare and organize correspondence and forms related to faculty and student matters, including faculty renewals, promotions, and leaves.
- Coordinate travel arrangements, including securing housing, meals, and itineraries for campus visitors.
- Process faculty and student travel and expense reports, verifying ProCard expenses.
- Maintain the Chair’s calendar and consult with the Chair regarding upcoming deadlines.
- Assist with department reports for annual assessments and external reviews.
- Support faculty and students with registration-related forms and departmental inquiries.
Communications and Office Management
- Oversee all departmental communications, including correspondence and website content.
- Manage student workers, including recruitment, scheduling, and submission of hours via UltraTime.
- Maintain office supplies, ensure an organized workspace, and manage filing systems.
- Take meeting minutes and manage departmental bulletin boards and display cases.
Chair Coordinator Duties
- Manage the Chair’s calendar, correspondence, and travel arrangements.
- Assist in prioritizing tasks and long-term planning for the department.
- Coordinate logistics for faculty recruiting, appointments, and leaves.
- Keep records of faculty meetings and program directors’ meetings.
Event Coordination
- Plan and schedule department events such as parties, receptions, and convocation ceremonies.
- Organize the spring convocation, including creating programs, ordering refreshments, and handling other logistical needs.
Course Planning and Registration
- Collaborate with the Director of Undergraduate Studies to create Course Leaf forms each semester.
- Update department web pages and printed materials regarding new courses.
- Assist students and faculty with registration-related issues and provide course overrides.
Facilities Coordination
- Oversee department’s physical spaces, including office assignments and provisioning with the A&L Dean’s Office.
- Ensure smooth onboarding for new faculty and manage office provisioning for outgoing faculty.
Budget Management
- Conduct monthly reviews of department budgets and monitor unrestricted allocations.
- Track faculty research accounts and restricted spending (e.g., discretionary, endowed funds, grants).
- Provide stewardship reporting and collaborate with College’s development officer.
- Assist with financial planning for non-regular faculty teaching and support budgets.

Minimum Qualifications
Education & Experience:
- Associates degree with 1-2 years of related experience
Skills:
- Excellent organizational and communication skills, ability to respond to multiple tasks and questions with frequent interruptions
- Must be self-motivated, take initiative, be able to reprioritize tasks and learn quickly
- Must be able to maintain the confidentiality of student files and personnel issues.
- Must have an excellent knowledge of grammar, punctuation, and spelling
- The ability to learn and negotiate new platforms in addition to experience with Word, Excel, and various web browsers is necessary
