Job Overview
The Registrar is responsible for administering an accurate student record system for the College and overseeing student registration for all credit coursework throughout the College’s service area. The Registrar helps author, advise, and enforce policies and compliance procedures related to student records and registration. The primary duties of the Registrar include recordkeeping, registration of students, transfer evaluation, residency classification, catalog development, graduation audits/checks, preparation of official transcripts, and compliance with applicable laws and regulations. The position requires strong, detail oriented skills to ensure the integrity and accuracy of academic records maintained by the College, and for all degrees and certificates conferred by EWC. The Registrar must have excellent communication and organizational skills.

The position of Registrar is full-time, benefitted employment on the Main Campus of the College in Torrington, typically working Monday through Friday, 8:00 a.m. to 5:00 p.m. However, there may be occasions when other times and additional hours will be required. The position requires occasional travel regionally and within the College Service Area. The position is categorized as Professional Staff, and it is FSLA Exempt.

 

Duties

1. Administer a reliable and accurate student information system

2. Oversee the registration of all students throughout the service area of the College

3. Develop, implement, and enforce the procedures of the Registrar’s office (e.g. attendance, catalog, class schedule, student registration process, drop/add/withdraw, grade deadlines)

4. Manage and conduct transcript evaluations, certificate and degree audits, and the transfer process; manage GPA adjustments and issue official transcripts, diplomas and certificates. Coordination of transcript process with the National Student Clearinghouse.

5. Create/enter data into Colleague student database

6. Assist with the Student Planning Module; sustain up-to-date, automated degree audit capability

7. Coordinate closely with Enrollment, Admissions, Outreach, and Academic Services to assure accurate and consistent data input of registration processes across the Service Area

8. Preserve the documentation and notify students of the appeals process related to grades and academic records; inform students of results

9. Contribute to and help ensure accuracy of College Catalog

10. Assist Financial Aid with validating student enrollment for VA benefits

11. Serve as senior expert on FERPA; interpret, guide, and apply FERPA regulations to ensure compliance

12. Verify enrollment, grades and GPA to determine student eligibility for participation in various programs, athletics, clubs, and activities

13. Review dual enrollment status and consortium agreements; process documents for student data changes

14. Process, verify, ensure proper entry of final grades and grade changes each term; process student standing and transmit academic or administrative notices (e.g. suspension, dismissal and withdrawal)

15. Analyze, review, prepare, and deliver reports for internal and external use by College; aid in audits and program reviews

16. Oversight of enrollment reporting to the National Student Clearinghouse, including error resolution for all data submissions.

17. Manage annual operating budget for Registration and Records

18. Aid in commencement event

19. Serve on Curriculum and Learning Committee, the CARE Team, and other committees as assigned

20. Maintain knowledge of current Registrar practices; represent EWC and serve as liaison/expert to external agencies for Registrar matters and uphold active participation in professional associations (e.g. AACRAO); regularly attend State Registrar meetings

21. Provide training to staff and faculty on compliance, processes, best practices and procedures that may be required to effectively administer the duties of the Registrar

22. Lead and enforce policies on student record retention

 

 

Minimum Qualifications:

· Bachelor’s degree in education, business management, or related field from accredited institution recognized by the US Department of Education

· Three years of work experience in a Registrar’s office or related higher education position/field

· Education/Experience Equivalency: Associate’s degree in related field and six years of work experience from which comparable knowledge, experience, and ability was acquired

· Knowledge of effective principles and practices in a college registrar’s office including confidentiality of student records and information

· Extensive computer ability to maintain databases, learn and train others on current/new software, create query reports, and regularly enter/set application variables (e.g. Colleague RYAT function)

· Demonstrated effective verbal and written communication skills and interpersonal rapport

· Current and valid state-issued Driver License

 

 

Preferred Qualifications:

· Ellucian Colleague database experience

· Previous work experience as a Registrar, or in Registrar’s office, in higher education

· Knowledge of or experience in a comprehensive community college environment

· Master’s degree in education, business management, or related field from accredited institution recognized by the US Department of Education

 

Job Type: Full-time

 

Pay: $82,050.00 - $87,556.00 per year
