DESCRIPTION

Under the supervision of the Clinic Supervisor or Department Manager, the Practice Administrative Assistant plays a key role in overseeing front-end operations, providing leadership and training for tasks such as patient check-in/check-out, scheduling, registration, referrals, authorizations, and patient administrative messaging. This position ensures the accurate completion of patient forms and manages the prior authorization process. Additionally, the Practice Administrative Assistant handles advanced administrative duties such as managing templates, office purchases, and coaching staff, while also overseeing junior counterparts. This position also implements and manages processes for medical necessity checks and the issuing of ABN forms, ensuring proper use, scanning, and documentation for self-pay patients. Maintaining QC policy and procedures, the Practice Administrative Assistant ensures compliance with ambulatory care guidelines and oversees an error tracking system to identify staff requiring further training or counseling. This position also educates clinic staff and physicians on proper document submission for authorizations related to clinic-ordered services or procedures. Acting as a department resource, the Practice Administrative Assistant also collaborates with clinic leadership to drive improvement efforts that impact the practice. Other related duties may be assigned.

MINIMUM QUALIFICATIONS
  • A minimum of five (5) years of ambulatory care experience with skill and extensive knowledge of practices in Ambulatory setting.

  • At least one (1) year of experience in an administrative lead role and front office administration.

  • Demonstrated experience managing weekly staff and provider schedules, leave requests, and timecards.

  • Previous experience managing float requests.

  • Detailed knowledge of supply ordering processes, including Premier and OD systems.

  • Knowledge of scheduling protocols for Alzheimer's drugs and related events, including prior experience in authorizations and appeals for Alzheimer's drugs.

  • Experience in referrals and following specific scheduling protocols.

  • Knowledge of computer programs to include Excel, PowerPoint, Graphs, Word, etc.

  • Proficiency in Tableau and other departmental reporting tools.

  • Ability to register/schedule appointments working between two systems.

  • Extensive knowledge of medical insurance, authorization and referral processes as well as institutional contract matrix and institutional processes.

  • Excellent customer service and communication skills.

  • Excellent organizational skills; ability to prioritize work. High level customer service and teamwork.

PREFERRED QUALIFICATIONS
  • Knowledge of Epic and IDX highly desired.

  • Memory Disorders, psychiatry and geriatrics specialty knowledge.

SPECIAL CONDITIONS
  • Able to flex work hours, including overtime, weekends, and holidays ifrequired for business needs.
  • Must be able to work various hours and locations basedon business needs.
  • Employment is subject to a criminal background check and pre-employment physical.

Pay Transparency Act

Annual Full Pay Range: $63,016 - $78,384 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $30.18 - $37.54

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
