Job Description:

Under general supervision, the Division Coordinator serves as the manager of Business Affairs and Operations for the Center and participates in the discussion, formulation, and interpretation of WEOC policies on the administrative team of the Executive Director.  Supervision is exercised over professional and non-professional staff.

The Division Coordinator is responsible for the effective day-to-day operations of the Westchester EOC facility, equipment, and systems including responsibility for overseeing housekeeping, maintenance, contractual services, security and proper care and upkeep of center facilities, infrastructure, and systems. The Division Coordinator interacts with and serves as the primary point of contact with Westchester Community College departments, Westchester County, building management officials, and others, as necessary, to address any concerns.  They conduct frequent on-site inspections of facilities and follows through on actions to correct and prevent reoccurrence of any deficiencies. They also assist with long-term planning associated with facility acquisition and operations.

The Division Coordinator oversees, coordinates, and manages the preparation and submission of all financial reports and documents to SUNY/UCAWD, the Research Foundation, WCC, NYSDOL, State Education Department and other entities as required, including but not limited to monthly expenditure reports, budget forecasts, quarterly reports and final expenditure reports. They oversee the implementation of effective processes and controls related to the fiscal management of Center funds. 

The Division Coordinator establishes and monitors contracts for services and procures all equipment, supplies and materials needed to support instructional programs and the operation and maintenance of the Center.  They plan, develop, and implement procedures for inventory control, including the disposal of equipment, in accordance with College, county and State policies; maintains an accurate and up-to-date inventory list of all furniture and equipment and other capital assets including vehicles; and manages and maintains all assets.

The Division Coordinator establishes and maintains professional contact with division heads within the WEOC, the College, the State University of New York, the State Education Department, funding institutions, and other County departments to ensure effective communication and coordination of efforts; establishes and maintains active relationships and/or partnerships with vendors, suppliers, partners and others to carry out Center functions effectively and efficiently; and serves as a liaison with landlord and property managers.

The Division Coordinator maintains written procedures of center functions/activities; disseminates information and provides guidance to staff in carrying out procedures; monitors organizational activities to ensure compliance with policies and procedures regarding security, procurement, building emergencies, etc. and initiates corrective action whenever necessary. The Division Coordinator develops long range plans in coordination with senior administrators to prepare for future organizational needs, technology, cost control and optimal utilization of staff and other resources.

The incumbent also oversees, coordinates, and manages security for the center and serves as the primary point of contact with the Westchester Community College Security Department; oversees center information technology, including IT infrastructure, data and phones; oversees and coordinates center health and safety measures and serves as the primary point of contact with Westchester Community College environmental health and safety officers and external agencies as may be relevant;  oversees marketing and media contracts and coordinates with the appropriate college department, as necessary; and manages facility access and control.

The incumbent responds to all alarm/emergency notifications per established protocols including fire alarms, security alarms, and on-site medical emergencies.

The Division Coordinator also maintains records, analyzes information, and prepares mandated reports for submission to the State Education Department, the State University of New York, funding institutions, and the President of the Community College. They will ensure compliance with all appropriate policies, guidelines and directives as may be issued by SUNY, WCC, EOC, State, Federal, or other governing, regulating or controlling entities.

The successful candidate supervises departmental staff assigned, including responsibility for hiring, training, assignment, scheduling, evaluation and discipline; promotes and maintains positive communications and interactions with both internal and external constituents including staff and students and works collaboratively to advance the objectives of the center;  and assists center staff with special function requests and activities.

The incumbent does related work, as required.


Requirements:

REQUIRED QUALIFICATIONS:  The successful candidate must possess one of the following:

  • A Master's Degree in Educational Administration, Public Administration, Business Administration or a related field and two years of experience in the administration of an academic, programmatic or support services area in a related field or in the public sector; OR
  • A Bachelor's Degree and four years of experience in the administration of an academic, programmatic or support services area in a related field or in the public sector.

The successful candidate must possess good knowledge of business and government; ability to identity problems, formulate and implement solutions;  ability to establish and maintain professional relationships; sound professional judgment; integrity; diplomacy; initiative; resourcefulness; physical condition commensurate with the demands of the position. 

All candidates must have evidence of responsiveness to and an understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of non-traditional adult students, as these factors relate to the need for equity-minded practice.

PREFERRED QUALIFICATIONS:  Experience working in a grant funded and a performance-based environment is preferred. A Master's Degree in the fields listed above is also preferred.

POSITION EFFECTIVE:  The position will remain open until filled.

SALARY & BENEFITS:  The starting salary is $83,556. Additional compensation with seniority steps maximize at a salary of $128,855. Benefits include comprehensive health coverage, a choice of defined benefit and/or defined contribution pension plan, generous leave benefits, and access to tax sheltered annuities and a deferred compensation plan.
