Job Function
SCOPE: Manages student enrollment relating to the WCE software; responsible for liaison with institutional units and external agencies regarding the WCE software. Functional assignment as a specialist in the WCE software and its integration with Ellucian Colleague in areas of responsibility listed below.
Job Responsibilities
- Manages the cloud-based WCE registration system of students.
- Manages any system migration and implementations.
- Serves as a College-wide primary point of contact for WCE system concerns (e.g., students, faculty, and staff).
- Creates and manages the processes to communicate with students throughout the WCE registration lifecycle.
- Assists academic departments in creating WCE courses.
- Processes WCE late registration exceptions.
- Processes duplicate records.
- Oversees WCE grading.
- Manages WCE credentialing in collaboration with departments.
- Willing to ascertain a working knowledge of WCE finance and financial aid processes to advocate for those departments to the system vendor in an informed manner.
- Serves as a point of contact with the WCE system vendor for College-wide ticket resolution.
- Ensures a seamless data transfer between the WCE system and Ellucian Colleague; ensures data integrity through self-identification and development of necessary audits.
- Manages users and security roles in the WCE system.
- Trains new users in the WCE system and coordinates ongoing training of users as needed.
- In collaboration with the IT Department, coordinate system upgrades and end-user testing and identify integration issues between systems.
- Works with campus partners, including IT, Provost, academic departments, Financial Services, Financial Aid, Marketing, Records & Registration, and Institutional Research, to keep the WCE system current and share data/reports/lists as needed.
- Creatively identify and automate time-sensitive solutions supporting student registration and outreach efforts related to the WCE software.
- Performs system data and functional analysis, develops system documentation, and creates end-user procedures for the WCE software.
- Develops workflows in the WCE software to continue automating processes and communication campaigns.
- Assists in the development, maintenance, and execution of the department’s communication plan to students regarding the WCE software.
- Assists with communications management in Ellucian Colleague as directed.
- Develops and monitors statistical reports to enhance registration strategies and operational efficiency through the WCE software in conjunction with the Director of Records & Registration and campus partners.
- Functions as the liaison to the IT Department.
- Backup with leadership job duties in the Office of Records & Registration as directed.
- Participates on committees as assigned.
- Attends workshops, conferences, and meetings as assigned.
- Other duties as assigned.
Education
Bachelor’s Degree from an accredited institution is required. Associate degree will be accepted with two years of professional work experience in higher education or database/SIS/CRM systems.
Qualifications
Two years of experience in one or more of the following areas – preferably in a higher education setting: records and registration services/Registrar’s Office, student services, student information systems/CRM, IT services, or other demonstrated related experience to the position.
