Program Coordinator

JOB SPECIFIC COMPETENCIES

Special Projects/Programs Management

  • Implements and manages new and current projects within the Alliance Program for internal and external initiatives. Removes obstacles to project completion and assumes a solution-focused approach
  • Manages the activities of the Alliance Program and the SPORE in MM; solicitation of proposals, planning, implementation, evaluation, budget preparation, and reconciliation
  • Develops and updates reports and materials for the annual meetings of the SPORE External Advisory Board
  • Collaborates with other departments and sponsors to implement Alliance Programs objectives
  • In collaboration with the Strategic Planning and Development Office identifies prospective Alliance sponsors by researching and evaluating potential funding sources in the biotechnology and pharmaceutical industry


Project Planning and Program Development

  • Identifies opportunities to build upon prior Alliance Program-related projects to enhance outcomes and enrich the translational and clinical research mission of the Department of Lymphoma and Myeloma, in the Division of Cancer Medicine and ultimately the Institution, i.e., two in-state and one out of state Patient Care Conferences, the Immunotherapy in Myeloma Scientific Workshop, and annual meetings of the External Advisory Board of Specialized Program of Research Excellence (SPORE) in Multiple Myeloma (MM)
  • Develops detailed professional proposals including strategic, and annual operating plans
  • Assist the Strategic Industry Ventures Office with marketing activities to include the development of related brochures, advertisements, etc.


Financial Management

  • Negotiates Alliance project-specific budgets with the Alliance-involved faculty
  • Integrates Alliance funding allocations across multiple projects to ensure resources are allocated, tracked, and reported appropriately
  • Monitors, evaluates, and reports on actual budget performance.
  • Manages administrative and budgetary aspects of Alliance Program; timely and accurately tracks expense and income
  • Responsible for the design, execution and effectiveness of a system for internal controls of assigned projects within the Alliance Program
  • Demonstrates knowledge of institutional and state guidelines regarding procurement, expense reimbursement, and contract communication


Administrative Management

  • Analyzes projects and ensures effective utilization of Alliance Program resources. Effectively utilizes institutional relationships to accomplish objectives
  • Directs the marketing of conferences to meet attendance and participation standards established in the strategic plan(s)
  • Assesses achievement(s) of projects under Alliance Program and Spore in MM; performs thorough performance reviews and recommendations/takes corrective action when necessary
  • Prepares intermittent and yearly progress reports as per schedule in conjunction with the appropriate faculty leaders. Ensures reports are submitted in a timely manner


MARGINAL OR PERIODIC FUNCTIONS

  • Establishes and maintains contacts with peers within MDACC, at other academic institutions, industry organizations, pharmaceutical and biotechnology companies
  • Ensures all requisite logistical accommodations are established, organized and confirmed for related programs and conferences
  • Other duties as required


Education Required - Bachelor's degree in Business Administration or related field.

Education preferred: Master's degree. Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, one year of required experience.
